About the role
Key responsibilities & impact- Maintain and monitor the full vendor order pipeline to ensure timely progress and completion
- Monitor the team phone queue and accept inbound calls to assist vendors with questions, updates, or issue resolution
- Conduct outbound calls to vendors and manage incoming vendor inquiries
- Ensure accurate fee management and proper documentation for each order
- Confirm vendor compliance with operational requirements
- Send proactive reminders regarding quality standards, turnaround times, platform or website usage, and performance expectations
- Collaborate with team members to troubleshoot operational challenges affecting vendor performance or order resolution
- Suggest workflow enhancements, process improvements, and best practices
- Maintain communication patterns and service-level expectations across the vendor panel
- Manage vendor timelines, appointments, and engagement agreements
- Follow Independence Guidelines and vendor management guidelines
- Ensure appropriate escalation paths and timely resolution
- Attend regular department meetings and provide feedback
- Meet department productivity and quality goals
- Communicate regularly with Vendor Management and Directors
- Perform other duties as assigned
Requirements
What you’ll need- Applicants must be currently authorized to work in the United States on a full-time basis and must not require sponsorship for employment visa status now or in the future
- Basic reading, writing, and arithmetic skills required
- High School diploma or equivalent required
- Knowledge of office processes, procedures, and technology
- Computer literate with the ability to learn software applications
- Professional verbal and written communication skills
- Ability to type 30 wpm
- One to three years of office experience
- Ability to maintain positive and professional business relationships with vendors and internal staff
- Strong attention to detail
- Ability to multitask in a fast-paced environment and meet tight deadlines
- Willingness to work a flexible schedule
