About the role
Key responsibilities & impact- Process the full weekly, biweekly, or semi-monthly payroll cycle for hourly and salaried employees, including new site locations
- Manage employee data in payroll and HRIS systems, including new hires, terminations, status changes, transfers, pay rate changes, and garnishments
- Maintain and audit payroll records and reconciliations, including general ledger entries, bank reconciliations, benefit deductions, tax withholdings, garnishments, and benefit contributions
- Ensure compliance with federal, state, and local payroll tax laws and regulations, wage and hour laws, employee classification rules, unemployment insurance, wage attachments/garnishments, and reporting requirements
- Assist with quarterly and annual tax filings/remittances, W-2 processing, 1099s where applicable, year-end payroll close, audits, and regulatory filings
- Monitor changes in payroll legislation, interpret organizational impacts, and recommend policy and procedure updates
- Partner with HR to develop payroll process improvements, standard operating procedures, and controls supporting accuracy, efficiency, and scalability
- Maintain benefits documentation and reporting
- Reconcile monthly benefit invoices and audit benefit deductions against carrier billing
- Support benefits compliance reporting, including ACA 1094/1095 forms, Form 5500 filings, nondiscrimination testing, and benefits audits
- Serve as the main point of contact for benefit plan audits, preparing requested information and answering auditors’ questions
- Provide backup to HR for benefits enrollment and processing changes
- Handle sensitive payroll and benefits information confidentially
- Perform the physical duties associated with the role, including standing, walking, sitting, reaching, and occasional lifting
Requirements
What you’ll need- U.S. citizenship
- Valid U.S. driver’s license
- Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Clear and effective verbal and written communication
- High School Diploma or Equivalent
- Minimum 5 years of progressive payroll experience
- Experience in a growing/multi-location organization preferred as ideal context
- Experience with payroll/HRIS systems
- Strong knowledge of payroll tax and regulatory compliance across multiple jurisdictions
- Strong Excel/computer skills
- Ability to process large volumes of payroll data accurately and meet strict deadlines
- Excellent analytical, problem-solving, organizational, and time-management skills
- Ability to prioritize multiple responsibilities
- High attention to detail and confidentiality when handling sensitive employee, payroll, and benefits data
- Ability to explain complex payroll and benefits concepts to employees
- Understanding of general ledger payroll accounting
- Ability to guide process improvements and standardize payroll and benefits administration across regions
- Experience establishing payroll operations and controls for new locations or jurisdictions
- Experience implementing or supporting multi-state payroll operations, including tax registration, multi-state wage laws, state unemployment, and local tax obligations
- Experience working with or integrating HRIS systems, including time and attendance, benefits, and HR modules, during system implementations
- Experience with benefits compliance reporting and filings, including ACA 1094/1095, Form 5500, nondiscrimination testing, and COBRA administration
- Ability to meet the stated physical demands, including occasionally lifting or moving up to 25 pounds
