About the role
Key responsibilities & impact- Maintain attorney calendars, schedule meetings, coordinate conference rooms, and assist with meeting logistics
- Coordinate domestic and international travel arrangements and process expense reimbursements
- Assist with time entry and proofread/edit attorney time records
- Support billing and matter management, including billing reports, client billing requirements, estimate reporting, and client inquiries
- Process new business intake forms, conflict checks, and new matter requests
- Prepare, revise, format, and proofread legal and business documents
- Assist with document management, electronic filing, redlining, table creation, and document organization
- Coordinate with Accounting, IT, Human Resources, Records, and Practice Administration
- Maintain organized electronic and physical files
- Provide general administrative support to attorneys and team members
- Type and prepare legal papers and correspondence, including briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions
- Generate Tables of Contents, Tables of Authorities, and redline documents
- Demonstrate flexibility and teamwork while supporting changing priorities
- Perform additional duties and special projects as assigned
Requirements
What you’ll need- 3+ years of administrative, legal support, or professional services experience; or equivalent combination of education and experience
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
- Prior law firm or professional services experience preferred
- Experience supporting multiple professionals in a fast-paced environment preferred
- Familiarity with legal terminology and document formatting preferred
- Experience with billing, expense reporting, and matter management systems preferred
- Bachelor’s degree or equivalent work experience preferred
