About the role

Key responsibilities & impact
  • Manage company incorporations, including private limited companies, sole proprietorships, and partnerships
  • Coordinate transfers of corporate secretarial appointments for existing companies
  • Draft statutory documentation, including AGMs, EGMs, and Board Resolutions
  • Maintain minute books, statutory registers, and internal databases
  • Monitor and manage statutory deadlines for assigned clients
  • Facilitate incorporations, annual returns, and corporate changes for Hong Kong companies in accordance with the Hong Kong Companies Ordinance
  • Ensure compliance with corporate governance standards and regulatory requirements
  • Provide guidance and support to clients and foster long-term relationships
  • Collaborate with cross-functional internal teams
  • Perform other corporate or ad-hoc administrative duties assigned by management
  • Report to the Portfolio Team Manager and Corporate Secretary Managers
  • Participate in the stated interview process and professional reference verification

Requirements

What you’ll need
  • 1–3 years of relevant professional experience, ideally within Corporate Secretarial, Legal Compliance, or Corporate Administration functions
  • Based in Malaysia
  • Prior hands-on experience managing Hong Kong entities
  • Working knowledge of the Hong Kong Companies Ordinance
  • Full fluency in English and either Cantonese or Mandarin, both written and spoken
  • Experience drafting basic corporate documentation, such as resolutions or minutes
  • Experience tracking regulatory deadlines
  • Strong organizational skills
  • High attention to detail and accuracy in documentation
  • Ability to thrive and maintain accuracy in a fast-paced, high-growth environment
  • ICSA qualification or GradCG status is highly preferred, though not required
  • Consent to required background checks, which may include education, criminal history, political exposure, bankruptcy, or adverse credit history checks
