About the role

Key responsibilities & impact
  • Download initial evaluation notes, clinical reviews, and treatment plans from external payer portals
  • Upload and attach documentation into the EHR system
  • Monitor, audit, and follow up on outstanding clinical documentation across assigned provider caseloads
  • Serve as the point of contact for clinicians regarding documentation procedures, templates, chart addendums, and clinical review workflows
  • Provide guidance via email and internal messaging
  • Maintain real-time documentation status logs and addendum tracking sheets
  • Uphold data integrity and HIPAA compliance
  • Support new provider onboarding by guiding clinicians through documentation expectations, EHR workflows, and compliance milestones
  • Coordinate documentation exchanges between clinicians and insurance liaisons
  • Resolve chart discrepancies and fulfill audit requests
  • Track charting bottlenecks and non-compliance trends
  • Provide actionable feedback to operations leadership
  • Manage a standard caseload of 25–30 assigned clinicians
  • Meet daily turnaround targets and support initial chart audits for new provider cohorts
  • Identify documentation gaps before billing or audit escalation
  • Assist teammates during peak volume or coverage transitions
  • Handle other responsibilities and ad-hoc projects based on business needs

Requirements

What you’ll need
  • 1–2+ years of administrative, care coordination, or operational experience in a healthcare or behavioral health setting
  • Strong working knowledge of clinical documentation standards and medical records management
  • Strict adherence to HIPAA regulations (preferred)
  • Proficiency navigating Electronic Health Record (EHR) platforms and administrative tracking systems
  • Experience with Google Workspace, Microsoft Excel, and web-based portals
  • Excellent written and verbal communication skills
  • High attention to detail and ability to prioritize a high daily volume of tasks
  • Ability to manage competing deadlines and maintain focus in a fully remote environment
  • Familiarity with job-relevant AI platforms such as Gemini, ChatGPT, Claude, GitHub Copilot, or other industry-standard AI productivity tools
  • Must be a current resident and authorized to work for any employer in the U.S.
  • Must be able to work Monday-Friday, 9:00am-5:30pm PST or equivalent listed U.S. time zones
