About the role
Key responsibilities & impact- Provide virtual comprehensive administrative support to the CEO, Divisional CMO(s), and SVPs
- Manage calendars, travel coordination, and expense reporting
- Lead project management activities for SPS and Emergency Medicine Site Visit initiatives
- Support development, writing, and finalization of project reports and presentations
- Coordinate site visit deliverables and track workstreams
- Maintain tracking systems for new service line growth initiatives
- Coordinate education and training activities across the Emergency Medicine service line
- Serve as the designated point person for New Clinician Onboarding and Medical Director Onboarding programs
- Maintain and track Emergency Medicine compliance and regulatory training
- Support service line communications, including recording monthly huddles and collaborating on newsletter content
- Prepare and distribute materials supporting the Center for Clinical Excellence for Emergency Medicine
- Manage Project Broadcast announcements
- Align the Executive team and manage service line decks and presentations, ensuring materials are accurate, current, and presentation-ready
Requirements
What you’ll need- Understanding of healthcare operations and administrative support functions in a clinical or physician group setting
- Working knowledge of project management principles and ability to manage multiple concurrent workstreams
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficiency with virtual meeting and communication platforms
- Demonstrated experience supporting senior leaders, including calendar management, travel coordination, and expense reporting
- Experience coordinating compliance or regulatory tracking programs and onboarding processes in a healthcare setting
- Excellent written and verbal communication skills
- Experience drafting and editing professional documents, reports, and presentations
- Ability to work effectively in a matrixed organization across clinical, operational, and administrative stakeholders
- Strong people skills to manage sensitive situations and confidential information with poise, tact, and diplomacy
- 5 years of project management, administrative or coordinator experience, preferably in a healthcare or clinical operations environment
- Previous virtual work experience is preferred
- Candidates located in the Central Time Zone or willing to work primarily within Central Time Zone business hours are preferred
