About the role
Key responsibilities & impact- Support clients and internal organizational stakeholders within the Managed Regulatory Services team
- Perform pre-sales contract support and project setup activities
- Study contractual agreements to understand project scope
- Support Project Managers with budget and resource management
- Process project resource bookings
- Track and maintain action items and issue logs
- Coordinate projects as the central point of contact for project teams
- Coordinate departmental workflow and ensure projects are submitted by deadlines
- Maintain internal databases, track progress of new and current projects, and maintain accurate customer information
- Contribute to internal operations meetings, update meeting minutes, and track meeting action items
- Process and monitor requests subcontracted to vendors, such as translations
- Follow up on projects with internal and external clients and act on inquiries
- Provide order confirmations and acknowledgements to customers
- Process customer approvals and deliver final project documents
- Use the Chemical Management portal to process requests and deliver final documents for members
- Prepare customer meetings and coordinate team schedules, including conference calls
- Assist Customer Care with client listings for surveys and client feedback
- Approve new Sales Orders
- Assist with training team members on internal administration tasks
- Assist Internal Sales with client quotes
- Obtain Project Manager quotes for non-standard services under current contracts
- Provide guidelines for Sales Order processing
- Participate in quality control activities before safety-document delivery
- Update client procedures and ensure project sheets are accurately completed
- Work with authoring teams and clients on process improvements
- Set up new projects in the business application according to contracts and internal criteria
- Ensure billing and revenue-recognition rules are accurate
- Provide invoice information and handle customer and internal invoicing inquiries
- Perform other tasks deemed necessary by Managed Regulatory Services management or Sphera’s Finance department
Requirements
What you’ll need- Degree in Science or equivalent experience
- Degree in Administration, Accounting, Business or equivalent
- Experience in project coordination or project management activities
- Experience in accounting or administration support-level role, including use of software programs for business support
- Experience following up on payment allocations and collections, investigating and resolving customer invoice queries, and collecting invoice data for monthly metrics
- Fluent in English and French for written and oral communications
- Working the evening/night shift from 17:30 to 2:30 IST, covering 8:00 to 17:00 EDT
- Self-starting, reliable and motivated
- Ability to manage own time and meet deadlines by prioritizing tasks
- Good tolerance to stress and sense of urgency
- Ability to make informed, timely, and effective decisions
- Attention to detail
- Excellent problem analysis and problem-solving capabilities
- Excellent verbal and written communication skills
- Good regulatory knowledge and troubleshooting skills
- Strong work ethic and professionalism
- Ability to work effectively internally and externally
- Comfortable with web-based applications and multi-screen data systems
- Proficient in Microsoft Office Suite: Excel, Word, Access
- Experience with Intelligent Authoring or SAP EH&S software systems for producing SDSs highly desirable
- Experience in Sciences, Chemistry, Health, Safety, Environment and/or Toxicology is an asset
- Experience in product stewardship or regulatory affairs is an asset
- Fluency in other languages is an asset
