About the role
Key responsibilities & impact- Provide high-level administrative and strategic support to executives
- Anticipate leaders’ needs and prepare meeting materials, briefing documents, and agenda items
- Monitor deadlines and follow up on action items
- Be reachable outside regular working hours as needed
- Support the design and execution of department All Hands meetings
- Manage executive calendars, interview scheduling, appointments, and internal/external meetings
- Keep leaders informed of commitments and responsibilities
- Act as a barometer for issues and keep leaders updated
- Optimize schedules and resolve conflicting priorities
- Liaise between leaders and internal/external stakeholders
- Handle correspondence, emails, and phone calls professionally and confidentially
- Facilitate communication between leaders and internal departments
- Draft, proofread, and edit memos, reports, presentations, and emails
- Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas
- Coordinate logistics for meetings, conferences, and onsite/offsite events
- Organize and maintain confidential information, documents, and files
- Conduct research and prepare reports and presentations
- Manage weekly expense reporting and reimbursement
- Perform delegated tasks, appointment-calendar maintenance, and day-to-day errands
- Anticipate personal needs and handle unexpected situations
Requirements
What you’ll need- 5+ years of previous experience as an Executive Assistant supporting C-level executives or senior management
- Required to work from the NYC office 3 days a week
- Ability to coordinate with in-person and remote executives and team members
- Exceptional organizational skills with the ability to multitask and prioritize in a fast-paced environment
- Discretion and confidentiality when handling sensitive information
- Proactive mindset and ability to act with a sense of urgency and anticipate needs
- Strong calendar management skills
- Excellent written and verbal communication skills
- Proficiency in Google Suite (Docs, Sheets, Slides, Forms), database management, and online collaboration tools
- Strong attention to detail and accuracy
- Ability to maintain composure and work effectively under pressure
- Flexibility and adaptability to changing priorities and demands
