About the role
Key responsibilities & impact- Manage inbound and outbound patient calls
- Conduct follow-up calls to nurture leads and confirm visits
- Book, reschedule, and optimize consultations and aesthetic procedures in Aesthetic Records EHR
- Maintain provider treatment calendars
- Process digital intake forms and update patient profiles
- Minimize schedule gaps
- Manage calls through Nextiva and transition to Lead AR integrated communications
- Maintain high-volume patient SMS communication
- Monitor and respond to Instagram DMs
- Assist with light promotional and social media content management
- Serve as the clinic’s primary voice and digital brand ambassador
Requirements
What you’ll need- Hands-on experience navigating Aesthetic Records EHR for scheduling and patient management
- Exceptional, clear, accent-free spoken English with an upbeat, professional phone demeanor
- Fast, accurate SMS texting and digital communication capabilities
- Private, HIPAA-compliant home workspace
- Computer (PC/Mac)
- High-speed internet
- Backup power/internet solutions
- Noise-canceling headset
- Full availability Tuesday–Friday, 10:00 AM–6:00 PM, and Saturday, 12:00 PM–6:00 PM
- Female candidate preferred per practice branding guidelines
- Preferred: hands-on experience with Nextiva or Lead AR
- Preferred: prior experience responding to Instagram DMs or assisting with local aesthetic marketing promotions
