About the role
Key responsibilities & impact- Handle 50–150 inbound and outbound patient calls per day using Weave
- Answer treatment inquiries and schedule appointments
- Manage provider calendars and guide prospective psychiatry and TMS therapy patients through intake
- Assist with general administrative requests
- Conduct appointment confirmations, cancellations, and reschedules in English and Spanish
- Address non-clinical questions about psychiatry, TMS therapy, and mental health services
- Maintain accurate patient records and organize digital intake workflows
- Update patient charts and manage daily calendar tasks using Google Workspace and GoHighLevel
- Verify insurance eligibility and coverage details on payer platforms
- Assist with prior authorization documentation
- Identify administrative bottlenecks and maintain high patient satisfaction
Requirements
What you’ll need- Fluent, natural spoken and written English and Spanish
- Minimum 2+ years of direct experience supporting a U.S.-based medical practice in a front-office, administrative, or patient-coordination capacity
- Bubbly, upbeat, warm, and highly confident phone presence
- Proven background handling inbound/outbound calls, patient scheduling, and customer service
- Comfort making outbound calls to prospective patients, addressing barriers to care, and guiding leads toward booking appointments
- Proven ability to work independently, follow through on tasks without constant direction, and solve operational challenges
- Strong understanding of HIPAA guidelines
- Quiet, private, HIPAA-compliant home workspace
- High-speed computer setup and clear noise-canceling headset
- Preferred: background in patient acquisition, medical sales, or lead conversion
- Preferred: experience in Direct Primary Care, Concierge Medicine, Medical Spa, Wellness, or Cash-Pay practice environments
- Preferred: hands-on experience with recurring membership billing models and membership CRM/lead management platforms
