About the role
Key responsibilities & impact- Schedule and maintain patient appointments for consultations, follow-up visits, and pre-operative evaluations
- Coordinate surgical procedures, securing operating room time and aligning provider, facility, and patient schedules
- Manage scheduling systems in real time to ensure optimal clinical flow and minimize gaps or double-bookings
- Facilitate complete pre-operative and post-operative care coordination across all participating care providers and facilities
- Ensure required medical clearances, diagnostic test results, and prior authorizations are secured before scheduled surgery dates
- Review and verify patient records for complete clinical, legal, and insurance documentation
- Serve as the primary point of contact for patients preparing for or recovering from surgical procedures
- Explain pre-operative requirements and post-operative care plans to patients and family members
- Address patient inquiries, provide compassionate support, and escalate clinical concerns to providers when necessary
- Maintain accurate patient records in the EMR system
- Track procedure status, follow-up timelines, and post-operative milestone check-ins
- Communicate with surgical teams and clinic providers regarding schedule updates and clinical preparation needs
Requirements
What you’ll need- Prior experience in surgical coordination, medical scheduling, or clinical care navigation
- Solid grasp of surgical scheduling workflows, pre-op clearance requirements, prior authorization processes, and post-op instructions
- Exceptional verbal and written English skills with a warm, professional bedside manner over the phone
- Comfortable navigating Electronic Medical Record (EMR) software, digital scheduling tools, and cloud communications
- Highly organized with an ability to manage multiple surgical timelines and strict documentation deadlines without error
