About the role
Key responsibilities & impact- Handle high-volume inbound and outbound calls
- Provide phone coverage during regular business hours, including later-hour and weekend coverage
- Respond to new patient inquiries and referral opportunities
- Schedule new patients and document appointments properly
- Follow up on missed calls, inquiries, and prospective patients
- Collect patient demographics and referral information
- Prioritize and schedule new Personal Injury referrals
- Communicate professionally with patients in English and Spanish
- Provide friendly, confident, and professional customer service
- Understand patient needs and guide inquiries toward scheduled appointments
- Maintain follow-up with prospective patients until an outcome is reached
- Assist with insurance verification and Personal Injury patient coordination
- Support Workers' Compensation cases and MedPay navigation and follow-up
- Communicate with insurance companies, adjusters, attorneys, and law offices
- Collect and maintain attorney and insurance information
- Handle medical record requests
- Follow up on outstanding insurance or Personal Injury-related items
- Support attorney lien-based treatment workflows
- Maintain HIPAA compliance and patient confidentiality
- Conduct outbound calls to prospective patients and leads
- Follow up with interested individuals who have not scheduled
- Convert inquiries into scheduled appointments
- Support outreach and business-development activities
- Maintain organized lead tracking and follow-up
- Re-engage prospective patients who have not scheduled
- Identify referral and business-development opportunities
- Follow up until each lead has a clear outcome
- Help increase appointment volume through proactive communication and lead conversion
Requirements
What you’ll need- Bilingual English/Spanish – Required
- At least 2 years of experience supporting a U.S.-based medical practice
- Strong inbound and outbound phone experience
- Excellent verbal and written English communication skills
- Strong Spanish communication skills
- Experience with medical appointment scheduling
- Excellent patient/customer service skills
- Comfortable making outbound calls and following up with leads
- Strong organizational skills and attention to detail
- Excellent follow-through and task ownership
- Understanding of HIPAA and patient confidentiality
- Professional and confident phone presence
- Personal Injury medical experience strongly preferred
- Insurance verification experience strongly preferred
- MedPay experience strongly preferred
- Workers' Compensation experience strongly preferred
- Experience communicating with attorneys or law offices strongly preferred
- Chiropractic experience strongly preferred
- Medical records experience strongly preferred
- Business development or lead-conversion experience strongly preferred
- DOT examination experience or knowledge strongly preferred
- ChiroTouch Cloud experience strongly preferred
- RingCentral experience strongly preferred
- Experience with ChiroTouch Cloud is a strong plus but not required
- Familiarity with ChiroTouch Cloud EMR and RingCentral phone system
