About the role

Key responsibilities & impact
  • Handle high-volume inbound and outbound phone calls, schedule appointments, manage messages, and deliver exceptional customer care
  • Manage daily administrative workflows and maintain accurate patient records
  • Organize provider task queues and coordinate provider/staff workflows
  • Conduct outbound follow-ups with prospective patients and leads
  • Explain practice services and membership models, assist with enrollment, and drive patient acquisition
  • Manage appointment confirmations and reschedules in English and Spanish
  • Address non-clinical patient questions and confidently ask for appointments
  • Assist with membership onboarding, recurring billing, renewals, and retention follow-up
  • Track incomplete tasks and monitor outstanding requests
  • Identify administrative bottlenecks, investigate root causes, and present actionable solutions
  • Refine administrative processes as the practice scales

Requirements

What you’ll need
  • Fluent, natural spoken and written English and Spanish
  • Minimum 2+ years of direct experience supporting a U.S.-based medical practice in a front-office, administrative, or patient-coordination capacity
  • Bubbly, upbeat, warm, and highly confident phone presence
  • Proven background handling inbound/outbound calls, patient scheduling, and customer service
  • Comfort making outbound calls to prospective patients, addressing barriers to care, and guiding leads toward booking appointments
  • Proven track record of working independently, following through on tasks without constant direction, and bringing solutions to operational challenges
  • Strong understanding of HIPAA guidelines
  • Quiet, private, HIPAA-compliant home workspace
  • High-speed computer setup and clear noise-canceling headset
  • Preferred: Background in patient acquisition, medical sales, or lead conversion
  • Preferred: Experience in Direct Primary Care, Concierge Medicine, Medical Spa, Wellness, or Cash-Pay practice environments
  • Preferred: Hands-on experience with recurring membership billing models and membership CRM/lead management platforms
