Manage high-volume inbound calls and execute proactive outbound follow-ups with new and prospective patient leads
Guide prospective patients through initial inquiries, explain treatment options, answer questions, and build rapport to drive consultation bookings
Maintain a proactive follow-up cadence via phone, text, and email to meet or exceed the practice’s 60%+ consultation conversion target
Schedule and confirm appointments efficiently, sending visit preparation details and reminders via email and text
Track lead progress, log patient notes, and manage communication pipelines using GoHighLevel CRM and Weave VOIP
Deliver an empathetic, professional, and welcoming experience tailored to women's health and wellness patients
Serve as the primary advocate for new and prospective patients
Build trust and answer sensitive clinical inquiries
Proactively convert patient inquiries into booked consultations with a targeted 60%+ conversion rate

Requirements

What you’ll need

Minimum 1 year of medical office or virtual assistant experience in Functional Medicine, Gynecology, Dermatology, or Med Spa practices
Proven sales, intake conversion, or patient care coordination background
Ability to comfortably close consultation bookings
Exceptional verbal and written English skills
Highly personable, articulate, confident, and energetic over the phone
Driven self-starter who excels at lead management, follow-up, and objection handling without sounding pushy
Hands-on experience or familiarity with GoHighLevel CRM and Weave VOIP platforms is highly preferred
Full-time contractor position, 40 hours per week
Availability Monday through Friday, 9AM - 5PM CST
