About the role
Key responsibilities & impact- Book, confirm, reschedule, and optimize patient appointments to maintain a full clinic calendar
- Manage high-volume inbound and outbound patient calls
- Answer patient inquiries, triage urgent calls, and take thorough messages
- Perform proactive outbound follow-up calls to confirm visits, fill schedule gaps, and remind patients of appointment requirements
- Monitor, prioritize, and respond to practice emails and general inquiries
- Forward clinical questions to appropriate staff
- Maintain professional, polite, and patient-centered communication
- Use inbound/outbound phone systems, email, and digital scheduling tools
Requirements
What you’ll need- Native-level fluency in spoken and written English with a clear, warm, and highly articulate phone manner
- Proven background handling high-volume calls and managing appointment calendars in an administrative or office setting
- Excellent written communication skills for managing administrative email correspondence
- Quiet, private, HIPAA-compliant home office
- Reliable computer (PC/Mac)
- High-speed internet connection
- Backup power/internet solutions
- Noise-canceling headset
- Prior remote virtual assistant or receptionist experience supporting U.S. healthcare, dental, or wellness practices (preferred)
