About the role
Key responsibilities & impact- Provide daily clerical support and coverage for all 8 judges and judicial staff
- Bring materials and orders needed during court proceedings
- Assist with civil compliance, civil contempt, and criminal contempt calendars
- Follow up with respondents regarding compliance with Orders of Referral to the Advocate Program
- Send additional paperwork as needed
- Run background checks to verify whether respondents are in custody and notify the Administrative Assistant when cases need to be reset
- Provide Court Specialist coverage when needed
- Prepare courtrooms, chambers, and jury rooms for use
- Ensure parties and support personnel are present
- Announce the judge and call court to order
- Monitor respondents’ submission of Firearms Affidavits and notify case managers of non-compliance
- Assist with Drug Court and Mental Health Court, including escorting defendants and respondents to testing areas and returning paperwork to judges
- Check in in-person and Zoom litigants and manage waiting-room or designated-area attendance
- Update case managers, clerks, and judges on the arrival of litigants, attorneys, witnesses, and Guardian Ad Litems
- Assist clerks and case managers with calendar flow
- Call witnesses to testify, escort them to the stand, and ensure they remain outside hearings when required
- Provide information, answer questions, and help resolve issues for judges, attorneys, court staff, and the public
- Distribute Firearm Affidavits at in-person Permanent Injunction hearings and ensure completion
- Assist with division meetings and training preparation
- Perform additional administrative duties as needed
Requirements
What you’ll need- High school diploma or GED
- One (1) year of experience in customer service or working with the public
- Experience working in an administrative capacity
- Knowledge of modern office practices, procedures, equipment, and systems
- Knowledge of business English, spelling, punctuation, and arithmetic
- Knowledge of personal computer applications such as Microsoft Word, Excel, Outlook and other relevant applications
- Ability to organize work, establish priorities, and multitask to manage high volumes of requests and assignments efficiently
- Ability to perform tasks with attention to detail and accuracy, including documentation and reporting
- Ability to use independent judgment and discretion concerning confidential and sensitive information
- Ability to establish and maintain professional relationships with judges, judicial staff, court-system employees, clerks of court, corrections, and law enforcement
- Ability to address jurors, witnesses, attorneys, and the general public with tact and courtesy
- Knowledge of established procedures for conducting judicial proceedings in courtrooms and chambers
- Ability to remain alert and observant during court sessions
- Ability to react quickly to judges’ directives and emergencies
- Willingness to follow official-conduct requirements as a representative of the court
- Ability to perform the stated physical demands, including standing, sitting, talking, listening, balancing, stooping, reaching, and transferring up to 10 pounds
