About the role

Key responsibilities & impact
  • Lead, coach, and develop the Loans and Distributions team, including hiring, onboarding, training, performance management, and ongoing professional development
  • Oversee daily processing of participant loan and distribution requests, assigning and balancing workloads to meet 24–48-hour processing targets
  • Monitor team productivity, accuracy, turnaround times, and performance, providing regular reporting and updates to leadership
  • Review and approve complex or high-risk transactions, including hardship withdrawals, QDROs, RMDs, and terminated-plan distributions
  • Serve as the primary escalation point for complex issues involving recordkeepers, clients, and plan participants
  • Build and maintain relationships with multiple recordkeepers
  • Develop and maintain operational procedures, checklists, and internal controls
  • Identify workflow, efficiency, process improvement, and automation opportunities
  • Oversee information accuracy and integrity in PensionPro, FT William, recordkeeper platforms, and ERISApedia
  • Stay informed about regulatory and legislative developments affecting retirement plan loans and distributions
  • Collaborate with Relationship Managers, Plan Administrators, and leadership to deliver client service and support fiduciary responsibilities
  • Provide hands-on transaction-processing and client or participant call support during high-volume periods
  • Perform additional duties and special projects as assigned

Requirements

What you’ll need
  • Minimum of 5 years of experience processing retirement plan loans and distributions, including at least 2 years in a supervisory or team leadership role
  • Strong working knowledge of qualified retirement plan documents and applicable IRS and Department of Labor regulations governing loans, distributions, and tax withholding
  • Experience leading teams in high-volume processing environments with established service-level expectations and turnaround metrics
  • Ability to develop and implement efficient workflows, documented procedures, and quality-control processes
  • Experience with major retirement plan recordkeepers, including Empower, Voya, John Hancock, Principal, and Transamerica, is a plus
  • Familiarity with PensionPro, FT William, and ERISApedia preferred
  • Strong analytical and problem-solving skills
  • Excellent organizational and time-management skills
  • Demonstrated leadership abilities with a commitment to coaching, mentoring, and developing team members
  • Excellent written and verbal communication skills with a strong commitment to customer service
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook
  • Ability to work collaboratively across departments while maintaining professionalism, confidentiality, and accountability
