About the role
Key responsibilities & impact- Manage logistical planning for beverage needs for Sundance Film Festival events
- Assess event beverage needs, allocations, and distribution plans and adjust them for the current year
- Develop alcohol and beverage projections for Festival events
- Coordinate with Festival Sponsors on representation, activations, recipes, and logistical needs
- Plan beverage services with event caterers, including point of sale, training, and recipe distribution
- Track and document beverage consumption for each event using online tools and documents
- Order products, stay within budget, arrange delivery windows, and ensure compliance with state requirements
- Schedule, communicate, and track delivery of beverage and point-of-sale items to and from events
- Ensure bars are properly set up, including signage, point-of-sale items, and displays
- Troubleshoot beverage-related issues during the Festival
- Serve as key liaison and expert resource for the Festival beverage program
- Coordinate shipments, storage, and distribution plans with the Production Department
- Collaborate with Marketing on bar menu copy and Corporate Partnerships on partner recipes and logos
- Manage and finalize alcohol orders while ensuring legal and regulatory compliance
- Distribute stock and manage product supply with employees and volunteers
- Oversee inventory and storage organization and complete final Festival inventory
- Audit expenses against projected and actual budgets
- Audit consumption against projections for post-Festival reporting
- Provide hands-on event-team support and assist with onsite event execution as assigned
- Schedule and manage assigned volunteers and complete evaluations
- Complete a comprehensive written wrap report
- Support Events Department operations and leadership as assigned
Requirements
What you’ll need- Legal authorization to work in the United States
- Valid driver’s license and successful completion of MVR background check
- 3 years experience in beverage logistics, account management, relationship management, brand partnerships, events management, or related
- Outstanding verbal, written, and interpersonal communication skills
- Excellent organizational skills and ability to prioritize
- Ability to maintain confidential information
- Strong customer support skills
- Previous experience with live events and products preferred
- Strong knowledge of complex databases like Airtable
- Proficiency in Zoom and Google Products (calendars, sheets, docs, forms, slides, etc.) a plus
- Ability to work extended hours, including evenings and weekends
- Ability to work remotely from an operating state and in Boulder, Colorado during January
