About the role

Key responsibilities & impact
  • Provide comprehensive administrative support to executives and senior leadership
  • Manage executive calendars, appointments, meetings, and schedules
  • Coordinate internal and external meetings across multiple time zones
  • Prepare meeting agendas, presentations, reports, and other executive documents
  • Track action items, deadlines, and meeting follow-ups
  • Assist executives with daily organization and task prioritization
  • Manage and organize executive emails, messages, and correspondence
  • Draft, proofread, and format professional emails, documents, presentations, and reports
  • Communicate with clients, vendors, employees, and external partners
  • Handle confidential and sensitive information
  • Organize and maintain digital files, records, documents, and databases
  • Coordinate travel arrangements, itineraries, accommodations, and schedules when required
  • Assist with expense tracking, reimbursements, and administrative documentation
  • Support company events, meetings, and special projects
  • Conduct research and prepare summaries or reports for leadership
  • Track projects, priorities, and deliverables
  • Coordinate with internal departments to ensure tasks and requests are completed
  • Monitor deadlines and communicate potential delays or issues
  • Maintain task lists and follow up with stakeholders
  • Help improve administrative workflows and organizational processes

Requirements

What you’ll need
  • 2+ years of professional experience as an Executive Assistant, Administrative Assistant, Personal Assistant, Office Administrator, or similar role
  • Excellent written and verbal communication skills
  • Strong organizational, time-management, and multitasking abilities
  • Proven ability to manage calendars, meetings, schedules, and competing priorities
  • Strong proficiency with Microsoft Office or Google Workspace, including Outlook/Gmail, Word/Docs, Excel/Sheets, and PowerPoint/Slides
  • Excellent attention to detail and accuracy
  • Ability to handle confidential and sensitive information professionally
  • Strong follow-up and task-management skills
  • Ability to work independently and proactively in a remote environment
  • Professional and polished communication style
  • Bachelor’s degree in Business Administration, Management, Communications, or a related field is preferred, or equivalent practical experience
  • Experience supporting C-level executives or senior leadership
  • Experience working with international or distributed teams
  • Familiarity with project management and collaboration tools such as Asana, Monday.com, ClickUp, Trello, Slack, or Microsoft Teams
  • Experience coordinating international travel and complex schedules across multiple time zones
  • Experience preparing executive presentations, reports, and business documents
  • Strong knowledge of business administration and office management practices
  • Experience working in a fast-paced startup or professional services environment
  • Bilingual or multilingual communication skills
  • Must work within the 7 AM–7 PM CST time range and 9-hour daily schedule (8 working hours plus a 1-hour break)
