About the role
Key responsibilities & impact- Support preparation and coordination of RFP responses, expressions of interest, prequalification submissions and technical proposals.
- Review submission requirements and prepare compliance checklists.
- Coordinate information and contributions from departments and project leads.
- Gather company information, team CVs, project experience, case studies, methodologies and supporting documentation.
- Format and compile submission documents according to client requirements and TGP standards.
- Check submissions for completeness, consistency, accuracy and compliance before issue.
- Maintain submission timelines and follow up with contributors to meet deadlines.
- Support client portals, supplier registrations and prequalification questionnaires.
- Create and update professional PowerPoint presentations, pitch decks, credentials presentations, capability documents and company profiles.
- Translate complex information into clear, concise and visually compelling content.
- Adapt presentations for specific clients, sectors, locations and opportunities.
- Select and arrange imagery, layouts, typography, charts and graphic elements.
- Ensure presentations follow TGP brand guidelines and maintain a high visual standard.
- Proofread and quality-check documents before external distribution.
- Maintain company profiles, credentials decks, service presentations and a central content library.
- Maintain approved project descriptions, case studies, team profiles, CVs, statistics, imagery and supporting information.
- Provide day-to-day administrative support to the Business Development team.
- Maintain opportunity trackers, submission calendars, databases and accurate client, opportunity and contact information.
- Coordinate internal bid meetings, reviews and approvals.
- Research prospective clients, partners and relevant third parties.
- Support targeted outreach and coordinate introductory meetings, capability presentations and follow-up actions.
- Record meeting notes, actions and next steps.
- Work with Advisory, Design, Operations, Marketing, Finance and Project teams to gather inputs.
- Manage multiple document requests and deadlines simultaneously.
- Flag missing information, conflicting content and submission risks.
- Handle confidential commercial and client information with discretion.
- Support continuous improvements to templates, content libraries and working processes.
Requirements
What you’ll need- Bachelor’s degree in Business Administration, Marketing, Communications, Graphic Design, English, Hospitality or a related discipline.
- Approximately 2–4 years’ experience in business development support, proposal coordination, presentation design, professional services or a similar role.
- Fluent written and spoken Arabic and English.
- Excellent proofreading, grammar and business-writing skills in English.
- Advanced proficiency in Microsoft PowerPoint and Word.
- Demonstrable ability to create beautifully designed, visually engaging and professional PowerPoint presentations.
- Strong understanding of presentation layouts, typography, visual hierarchy, image selection and information design.
- Graphic design experience is highly preferable.
- Experience using Adobe InDesign, Illustrator, Photoshop, Canva or similar design software would be advantageous.
- Good working knowledge of Microsoft Excel.
- Exceptional attention to detail and accuracy.
- Highly organised, with the ability to manage multiple deadlines and competing priorities.
- Confident coordinating information from different departments and senior stakeholders.
- Comfortable following up with contributors and taking ownership of deadlines.
- Able to research and organise complex information into clear, client-ready content.
- Experience preparing RFP responses, technical submissions, proposals or prequalification documents is strongly preferred.
- Experience within hospitality, consulting, design, architecture, real estate or another professional-services environment would be advantageous.
