About the role

Key responsibilities & impact
  • Handle all incoming calls for the surgery department
  • Direct patient questions to the appropriate surgical facility, provider, or surgery department
  • Guide patients through intake and sign-in documentation
  • Gather medical charts and verify insurance information
  • Schedule necessary equipment and procedure rooms and maintain surgical inventory
  • Understand surgical procedures, durations, and staffing requirements to maintain surgical schedules
  • Log and communicate urgent matters with the surgery department, providers, and medical secretaries
  • Create and send pre-op orders, including labs and other physician-protocol testing
  • Provide surgery schedule information and updates to the surgery department
  • Manage surgical documents and enter patient and post-surgery information into medical records
  • Arrange pre- and post-operative visits according to physician protocols
  • Review post-operative information with patients
  • Conduct follow-up calls with post-surgical patients and assist with post-op return-to-work or school paperwork
  • Maintain compliance with state and federal regulations, laws, and CAO guidelines
  • Perform other duties as assigned
  • Report directly to the Practice Administrator; no direct reports

Requirements

What you’ll need
  • High school diploma, or GED equivalent, required
  • 1-2 years’ experience in clerical, administrative, or secretarial work preferred
  • Knowledge of medical terminology, managing medical records, medical coding, and human anatomy preferred
  • Skilled in operating various medical record software and hardware, word-processing, and database software programs
  • Strong interpersonal skills
  • Ability to organize, prioritize, and manage multiple tasks in a dynamic environment
  • Strong oral and written communication skills
  • Ability to work independently
  • Excellent time management, organization, and administrative support skills
  • Ability to work effectively as part of a team and take initiative
  • Must be able to read, write, speak, understand, and communicate in the English language
  • Must be able to sit for long periods and lift up to 50 pounds
  • Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting
  • Some heavy lifting, pushing, and pulling regularly throughout a standard work shift
  • Adequate hearing to perform duties in person and over telephone
  • Visual acuity adequate to perform job duties
  • Requires exposure to communicable diseases, bodily fluids, medicinal preparations, and other clinical-environment conditions
