About the role

Key responsibilities & impact
  • Answer incoming telephone calls
  • Schedule appointments and direct incoming call questions through warm transfers or EPIC EMR messaging
  • Perform phone system and answering service functions
  • Respond courteously to patients, prospective patients, legal guardians, and POAs
  • Manage daily patient and physician scheduling
  • Schedule patient visits to optimize patient satisfaction, provider template utilization, and treatment room utilization
  • Obtain, record, and update personal and financial patient information according to Medicare, State, and Federal guidelines
  • Stay current with insurance rules and policies
  • Manage work queues in EPIC EMR
  • Verify referrals and perform pre-certifications as appropriate
  • Type, mail, and fax correspondence, including patient letters and new patient paperwork
  • Prepare patient materials and handouts
  • Order office supplies and maintain a clean area
  • Perform other duties as assigned

Requirements

What you’ll need
  • High School Diploma or equivalent
  • One to three years' experience in Customer Service required
  • Medical office experience and 1-year prior scheduling experience preferred
  • Copier, fax, telephone system, postage equipment, and computer skills required
  • Microsoft Outlook, Word, and Excel skills required
  • Must be able to multi-task and maintain confidentiality
  • Must pass skills assessment tests
  • Strong verbal and social skills for respectful interaction with patients, physicians, and co-workers in person or by telephone
  • Excellent customer service skills
  • Experience using Electronic Medical Records systems and Practice Management Systems
  • Knowledge of health insurance coverage and requirements
  • Basic Math skills
  • Analytical skills for decision-making based on facility and clinical situations
  • Knowledge of and compliance with HIPAA privacy requirements
  • No licenses, registrations, or certifications required
