About the role

Key responsibilities & impact
  • Coordinate and support planning and execution of in-person, virtual, and hybrid events
  • Maintain project plans, timelines, production schedules, and key deliverables
  • Manage venues, catering, audiovisual requirements, signage, transportation, accommodations, and supplier coordination
  • Support speaker communications, briefing materials, scheduling, agenda coordination, and speaker briefing calls
  • Manage attendee registration processes and event platforms
  • Monitor registration and attendance and respond to attendee inquiries
  • Support VIP guests and special accommodations
  • Track sponsorship and client deliverables
  • Coordinate branding assets, materials, sponsor activations, and onsite requirements
  • Coordinate vendors and maintain event documentation
  • Track budgets, reconcile invoices, and support compliance with health and safety requirements
  • Support onsite registration, attendee flow, event-day activities, and real-time troubleshooting
  • Collaborate with Event Specialists, Sales, Marketing, Finance, and other internal stakeholders
  • Compile post-event reports, surveys, and analytics
  • Maintain event records and databases, including attendance, engagement, and sponsor performance metrics
  • Identify opportunities to improve event processes, attendee experiences, and operational efficiencies

Requirements

What you’ll need
  • Bachelor's degree or equivalent experience in Event Management, Hospitality, Marketing, Communications, or a related field
  • 1-3 years of experience in event planning, conference production, hospitality, project coordination, or a related environment
  • Strong event planning, project coordination, and organizational skills
  • Ability to manage multiple projects and competing priorities simultaneously
  • Exceptional attention to detail
  • Strong time-management and prioritization skills
  • Excellent written, verbal, and interpersonal communication skills
  • Strong customer service and stakeholder management skills
  • Experience working with internal teams, vendors, sponsors, speakers, clients, and attendees
  • Experience coordinating with vendors and suppliers
  • Experience supporting event logistics and operational requirements
  • Strong problem-solving skills and adaptability
  • Ability to respond to changing priorities and troubleshoot issues in a fast-paced event environment
  • Experience with budget tracking, invoice reconciliation, and general event administration
  • Proficiency with Microsoft 365 Office
  • Ability to work flexible hours, including occasional evenings, early mornings, and event-day schedules
  • Ability to travel to event venues as required
