About the role

Key responsibilities & impact
  • Conduct appreciative advising sessions and learning plan consultations
  • Maintain regular contact with students to support academic success, wellbeing, cultural integration, and personal development
  • Perform student welfare check-ins and support students experiencing academic, health, housing, or adjustment challenges
  • Support student conduct processes and referrals
  • Lead and support pre-arrival webinars, student arrivals, orientation programmes, excursions, cultural activities, and community engagement opportunities
  • Coordinate airport arrivals, housing check-ins, and departure logistics for Dublin-based programmes
  • Plan and deliver co-curricular experiences supporting intercultural learning and student engagement
  • Manage event logistics, including bookings, transportation, attendance tracking, communications, and risk management
  • Support operational planning and delivery of faculty-led and custom academic programmes
  • Coordinate programme logistics including accommodation, transport, academic spaces, guest speakers, cultural visits, and student support
  • Work with U.S. and international partner institutions and local providers
  • Support new programme development and special projects
  • Manage course registration, advising support, programme records, student data, and programme information in Salesforce and other institutional systems
  • Coordinate student communications, surveys, reporting, and programme documentation
  • Assist with housing administration, room allocations, arrivals information, and student records management
  • Support budget tracking, vendor coordination, and administrative project management
  • Participate in after-hours emergency response and emergency phone rotation as required
  • Respond to student incidents and emergencies in line with IFSA policies and protocols
  • Support risk management planning for programmes, excursions, and student activities
  • Support, mentor, and coordinate part-time Programme Assistants and temporary staff during peak periods
  • Collaborate with colleagues across Ireland and globally
  • Represent IFSA professionally with university partners, accommodation providers, and community organisations

Requirements

What you’ll need
  • Undergraduate/Bachelor's degree
  • Minimum 2–3 years of experience in study abroad, international education, higher education, student services, hospitality, programme management, tourism, youth work, or a related field
  • Demonstrated experience supporting students or young adults in a similar environment
  • Strong organisational skills and ability to manage multiple priorities simultaneously and independently
  • Excellent written and verbal communication skills
  • Ability to work independently while contributing effectively as part of a team
  • Willingness to work occasional evenings and weekends during arrivals, orientations, excursions, and programme activities
  • Legal right to work in Ireland
  • Experience working with U.S. study abroad students
  • Knowledge of Irish higher education institutions and student life
  • Experience with Salesforce or similar CRM systems
  • Experience coordinating events, programmes, or international student activities
  • First Aid, Mental Health First Aid, safeguarding, or student support training
