About the role

Key responsibilities & impact
  • Support the Program Manager in executing energy efficiency workforce development program activities
  • Maintain program calendars, implementation schedules, deliverable trackers, action-item logs, administrative records, participant records, employer and contractor records, training materials, and project-management systems
  • Coordinate internal and external meetings, prepare agendas and materials, document meeting notes and decisions, and track action items
  • Monitor deadlines and provide updates on outstanding activities, risks, and documentation
  • Coordinate communications among internal teams, subcontractors, training providers, employers, contractors, workforce partners, and external stakeholders
  • Execute participant outreach, recruitment, referrals, intake, application processing, eligibility verification, enrollment, onboarding, interviews, and orientations
  • Coordinate training schedules and logistics for in-person, virtual, and hybrid sessions
  • Prepare and distribute training materials, confirmations, reminders, schedules, and announcements
  • Track attendance, training progression, completion, credential attainment, and milestones
  • Coordinate participant access to learning-management systems and training resources
  • Collect participant feedback and training evaluations
  • Coordinate employer and contractor meetings, site visits, listening sessions, information sessions, recruitment events, job fairs, and capacity assessments
  • Maintain employer and partner contact lists, engagement records, site-visit records, and follow-up schedules
  • Document employer feedback, workforce needs, hiring opportunities, candidate requirements, and employment outcomes
  • Gather information on contractor business models, workforce structures, project pipelines, growth goals, hiring demand, and operational barriers
  • Develop and maintain employer profiles and job success profiles
  • Identify incumbent-worker training, credentialing, advancement, and supervisory-development needs
  • Translate employer demand into actionable hiring requirements for internal teams and workforce partners
  • Enter and maintain participant, training, employer, contractor, and program-activity data in designated systems
  • Monitor performance trackers for recruitment, referrals, eligibility, enrollment, attendance, training completion, credentials, engagement, placement, and retention
  • Prepare draft weekly, monthly, quarterly, and other required program reports for the Program Manager
  • Support performance dashboards, program status updates, data-informed recommendations, compliance reviews, monitoring visits, and audits
  • Coordinate logistics for recruitment events, community information sessions, webinars, employer meetings, and industry-engagement activities
  • Manage event registration, attendance tracking, participant communications, and follow-up
  • Represent the program at recruitment events, community meetings, employer convenings, contractor visits, training activities, and partner events
  • Build productive relationships with participants, employers, contractors, training providers, workforce organizations, and community partners
  • Protect confidential participant, employer, and program information
  • Travel throughout Michigan, including to employer and contractor locations, training sites, partner offices, community events, and client meetings

Requirements

What you’ll need
  • Associate degree or bachelor's degree in business administration, workforce development, education, public administration, human resources, economic development, construction management, or a related field, or an equivalent combination of education, training, and relevant experience
  • Minimum of two years of experience in program coordination, administrative support, workforce development, education, employer services, contractor engagement, training coordination, or a related field
  • Experience coordinating multiple activities, maintaining records, and managing competing deadlines
  • Experience supporting participant services, recruitment, training programs, employer engagement, contractor engagement, or community-outreach activities
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams
  • Experience entering, maintaining, and reviewing data in spreadsheets, databases, applicant-tracking systems, customer-relationship systems, or program-management systems
  • Strong written and verbal communication, active listening, problem-solving, and follow-through skills
  • Ability to communicate effectively and professionally with participants, employers, contractors, training providers, workforce organizations, and community partners
  • Ability to work independently while following established program procedures and direction from the Program Manager
  • Ability to maintain confidentiality and handle sensitive participant, employer, and program information appropriately
  • Current residency in the State of Michigan and ability to travel throughout Michigan as required
  • Ability to perform the position’s essential functions with or without reasonable accommodation
  • Preferred: Experience supporting workforce development programs, particularly those related to energy efficiency, clean energy, construction, employer services, or skilled trades
  • Preferred: Familiarity with Michigan’s workforce development ecosystem
  • Preferred: Knowledge of energy efficiency occupations, including HVAC, heat pumps, weatherization, energy auditing, building science, electrical trades, and building performance
  • Preferred: Experience supporting utility-sponsored or publicly funded workforce development programs, contractor networks, or trade ally programs
  • Preferred: Familiarity with participant intake, eligibility verification, training coordination, employer engagement, employment placement, and retention activities
  • Preferred: Experience working with individuals or communities facing barriers to employment
  • Preferred: Experience supporting small businesses or contractors with workforce, operational, supervisory, or capacity-building needs
