About the role
Key responsibilities & impact- Provide administrative and accounting support to Lloydminster Corps and Family Services
- Perform secretarial, administrative, payroll, timekeeping, benefits, filing, bookkeeping, accounts payable/receivable, petty cash, banking, trustee-finance, and financial-reporting duties
- Build and maintain databases, employee and volunteer information, contact lists, inventory, and hours-worked records
- Maintain input into the Salvation Army Management Information System (S.A.M.I.S.)
- Prepare and receive paperwork for projects and processes such as accreditation and licensing
- Schedule or track the supervisor’s calendar, make travel arrangements, and provide reminders and support documentation
- Communicate with internal and external contacts and support external reporting requests
- Respond to routine enquiries and enter and maintain client information in Link 2 Feed
- Maintain accurate volunteer files
- Support reception, intake, and distribution through cross-training
- Process incoming and outgoing mail and distribute parcels
- Order and maintain office, postage, and other supplies and arrange office-equipment maintenance
- Track employee mandatory training, education, and driver’s abstracts
- Process accounts payable, cash receipts, contributions, accounts receivable, tax receipts, and petty cash
- Conduct client and trust account reviews and monthly bank reconciliations with the Corps Officer
- Support program delivery and coordinate Emergency Disaster Services lodging response as required by the City of Lloydminster
- Participate in the City Trauma Response Team with required training
- Provide frontline services during Christmas distribution and update the Kettle system daily during the Christmas Kettle Campaign
- Provide guidance and oversight to students and volunteers
- Report directly to the Corps Officer or designate
Requirements
What you’ll need- Completion of a formal post-secondary/college program of two (2) academic years in a related field
- Alternative combinations of education and experience may be considered
- Two years of work experience in client/customer relations and/or administrative work is preferred
- Strong administrative skills and proficiency with computers and databases, particularly Excel, Word, Internet, and Office 365
- Knowledge of Salvation Army systems (Octagon, SAMIS, RAC and TEM) would be a definite asset
- Ability to maintain information in confidence and exercise good judgement
- Good oral and written communication skills
- Ability to follow written instructions and create written reports
- Good interpersonal skills, integrity, and adaptability
- Attention to detail, problem solving and analytical skills
- Strong organizational skills and ability to complete assignments and meet deadlines
- Compliance with OH&S Act and Regulations and The Salvation Army’s health and safety policies and procedures
- Valid Alberta Class “5” Driver’s License required for use of Salvation Army program vehicle
- Original copy of a current satisfactory Driver’s Abstract required
- Original copy of a satisfactory Background Check required through CPIC or a local police detachment
- Understanding of The Salvation Army’s Mission in Canada and its implications for the role
