About the role

Key responsibilities & impact
  • Support the Finance & Operations team covering Finance, Human Resources, IT and Business Operations
  • Support administrative activities that facilitate the smooth running of the Trust
  • Organise people, information and other resources
  • Provide practical and responsive support to colleagues
  • Maintain effective processes and contribute to ongoing operational improvements
  • Report to the Senior Operations Officer
  • Lead day-to-day Health and Safety, including compliance monitoring, documentation, regular reviews and staff training
  • Act as First Aider and Fire Warden after provided training
  • Support wellbeing activities and initiatives
  • Provide a responsive service for external and internal telephone, email and mail enquiries
  • Order stationery, office supplies and IT equipment within budget
  • Maintain the general upkeep of office premises
  • Manage visitors, access, post and general office administration
  • Manage outsourced office provider relationships and monitor service levels and performance
  • Support sourcing or renewals and manage the relationship with Millbank Tower building management
  • Support general office projects
  • Lead on office and IT equipment with line manager support
  • Provide administrative support for IT projects
  • Support new starter and leaver operational processes
  • Support centrally organised team activities
  • Provide ad hoc support with GDPR queries
  • Perform other duties as necessary

Requirements

What you’ll need
  • Excellent verbal and written communication and strong interpersonal skills
  • Strong organisational and problem-solving skills, with the ability to multitask
  • Flexible and adaptable approach, with the ability to prioritise tasks and work to deadlines
  • Good understanding of workplace confidentiality
  • Sympathetic to the aims of the Trust and its mission to address educational disadvantage
  • Excellent attention to detail
  • Ability to work collaboratively as part of a team and independently with a high degree of initiative
  • Personable, flexible and discreet; able to fit into a small team
  • Eligible to work in the UK
  • Experience of office administration/coordination is advantageous but not required
  • Experience of managing a range of different projects is advantageous but not required
  • Experience of working in the education or not-for-profit sector is advantageous but not required
  • DBS check may be required
  • Must be able to work from the London office at least 2 days per week
  • Standard working hours are 9am to 5pm, Monday to Friday, with occasional weekday evening and weekend events/meetings
  • The employer is not a licensed visa sponsor
