About the role

Key responsibilities & impact
  • Provide administrative and technical support to the project team
  • Plan, organize, and coordinate project administration responsibilities
  • Maintain procedures, guidelines, documentation, project records, and laboratory project documents
  • Complete and maintain document review checklists
  • Prepare reports and collect data for analysis
  • Review, coordinate, and compile files and other materials
  • Distribute project documents and supplies
  • Process and track local regulatory, study-specific, and departmental documents
  • Perform file reviews and maintain correspondence files and departmental records
  • Analyze and reconcile project documents, metrics, and findings reports within specified timelines
  • Assist with clarification and resolution of documentation findings
  • Request translation quotes when needed
  • Compose, copy, and distribute communications, reports, documents, and forms
  • Perform mass mailings and communications
  • Provide access to Preclarus portal systems
  • Process local payments for translations and other local vendors
  • Support ad hoc project management activities, reports, and study dashboard editing
  • Coordinate team conference calls and prepare and distribute meeting minutes
  • Serve as a resource to the project team

Requirements

What you’ll need
  • Bachelor or equivalent and relevant formal academic / vocational qualification
  • At least 2 years of previous experience providing the knowledge, skills, and abilities to perform the job
  • Effective oral and written communication and interpersonal skills
  • Ability to work in a team or independently
  • Good organizational skills and strong attention to detail; ability to handle multiple tasks efficiently and effectively
  • Ability to analyze and update project-specific data/systems accurately and efficiently
  • Flexibility and adaptability to reprioritize workload and support changing project timelines
  • Strong customer focus
  • Ability to attain and maintain working knowledge of applicable regulations and procedural documents for non-clinical/clinical project implementation, execution and closeout
  • Good English language and grammar skills
  • Good computer skills; proficiency in MS Office and ability to learn database systems and modern technology
  • Good critical thinking, root cause analysis, and problem-solving skills
  • Ability to work under pressure to meet project/client deliverables and timelines
  • Ability to successfully complete required training programs
  • Ability to maintain regular and consistent attendance
  • Ability to perform occasional travel and drives to site locations
  • Ability to perform required office/clinical-environment physical activities, including occasional lifting of 5–15 lbs. (2–6 kgs.)
