About the role

Key responsibilities & impact
  • Translate agency priorities into actionable project plans, timelines, milestones, and next steps
  • Coordinate cross-functional business and operational initiatives
  • Track progress, owners, risks, dependencies, and follow-up items
  • Gather, organize, validate, and prepare metrics and data for recurring agency reporting
  • Maintain documentation of data sources, reporting timelines, metric definitions, project status, and key decisions
  • Organize and maintain agency content, process documentation, shared trackers, and knowledge repositories
  • Coordinate leadership meetings and agency routines, including agendas, presentations, pre-reads, meeting notes, action items, and follow-up
  • Prepare presentations and status updates for senior leaders
  • Partner with creative, operations, account management, production, and other teams to resolve coordination gaps
  • Identify and help implement improvements to project coordination, documentation, and team processes
  • Keep stakeholders informed of progress, milestones, decisions, and potential roadblocks

Requirements

What you’ll need
  • Bachelor’s degree in Business, Marketing, Mass Communication, Advertising, or a related field
  • 4+ years of experience in project management, program coordination, business operations, or a related field
  • Experience coordinating cross-functional projects, managing timelines, and balancing competing priorities
  • Comfortable working with data and recurring reports, with a strong eye for detail, accuracy, and organization
  • Clear and confident verbal and written communication skills
  • Ability to prepare concise presentations and project updates
  • Ability to organize complex information and maintain useful documentation
  • Proactive problem-solving skills
  • Ability to manage multiple workstreams, keep stakeholders aligned, and meet deadlines
  • Ability to work effectively in a changing environment and support continuous improvement
