About the role
Key responsibilities & impact- Manage the administrative and operational aspects of the Principal’s practice
- Triage communications, prepare correspondence, manage calendars, travel, documents, and team coverage
- Support professional regulatory and licensing requirements, memberships, continuing education, biographies, conferences, and external activities
- Coordinate document production, filing, version control, and collaboration with Document Services and administrative teams
- Support firm-wide initiatives, process improvements, and special projects
- Manage docket entries, billing workflows, WIP, proformas, invoices, alternative fee arrangements, budgets, financial reports, expenses, and third-party payments
- Prepare engagement letters and support matter intake, file openings, conflict searches, and outside counsel guideline reviews
- Organize electronic client files, manage secure file sharing, monitor inactive matters and trust balances, and coordinate audits
- Support pitches, RFPs, client information systems, business development activities, Chambers submissions, CLE sessions, and events
- Prepare and manage litigation documents and court materials, including pleadings, motion records, affidavits, factums, books of authorities, appeal books, and mediation briefs
- Coordinate filing, service, court processes, examinations, mediations, hearings, trials, appeals, deadlines, and procedural timelines
Requirements
What you’ll need- Post-secondary diploma in Office, Legal or Executive administration or another related program
- 3–5 years of related experience, preferably within a legal or professional services firm
- Strong knowledge of British Columbia litigation procedures, court requirements, filing processes, and legal technologies
- Strong knowledge of legal terms, documents, and procedures
- Experience using legal and administrative software, including document management systems, time entry and billing platforms, and client relationship management tools
- Strong working knowledge of legal practice operations, billing processes, alternative fee arrangements, file management, and client service expectations
- Proficient in MS Office product suite
- Ability to work additional hours and maintain an in-office presence as required
- Ability to handle sensitive client and firm information with confidentiality and discretion
