About the role

Key responsibilities & impact
  • Manage the administrative and operational aspects related to the practice of litigation lawyers
  • Manage and triage communications, respond to routine inquiries, and save emails and attachments in the document management system
  • Draft client correspondence
  • Manage calendars, meetings, travel arrangements, itineraries, and expense reports
  • Support regulatory obligations, professional memberships, continuing professional development, biographies, and conference participation
  • Draft, format, revise, proofread, and manage document versions
  • Coordinate task allocation and collaborate with document processing teams and administrative resources
  • Provide support and guidance to colleagues and new hires
  • Assist with billing processes, pro forma invoices, budgets, financial reports, and expense processing
  • Draft engagement letters and assist with file opening, conflict checks, and audits
  • Oversee electronic file organization, secure file sharing, and tracking of inactive files and trust balances
  • Support proposals, requests for proposals, business development activities, Chambers submissions, and client events
  • Coordinate business development meetings, events, and travel
  • Prepare, review, and manage litigation and court documents
  • Coordinate filings, service of process, and court proceedings across multiple jurisdictions
  • Track litigation deadlines, hearing dates, procedural calendars, and limitation requirements
  • Support examinations for discovery, mediations, hearings, trials, and appeals

Requirements

What you’ll need
  • Postsecondary diploma in office administration, legal administration, executive administration, or a related field
  • 5 to 7 years of relevant experience, preferably in a law firm or legal professional services firm
  • Strong knowledge of Quebec litigation procedures, court requirements, document filing procedures, and legal technology
  • Strong knowledge of legal terminology, documents, and procedures
  • Experience with legal and administrative software, including document management systems, timekeeping and billing platforms, and customer relationship management tools
  • Strong understanding of how a law firm practice group operates, including billing processes, alternative fee arrangements, file management, and client expectations
  • Proficiency in Microsoft Office
  • Full professional fluency in French and English
  • Ability to adapt to new technologies, including artificial intelligence and emerging tools
  • Ability to manage multiple priorities, handle confidential information, and work independently and as part of a team
  • Willingness to work overtime and be present in the office when required
