About the role
Key responsibilities & impact- Provide routine administrative support to legal assistants and principals across the Toronto office, including visiting lawyers
- Code, bookmark, quality-check, organize, print, scan, reproduce, sort, collate, and finish documents
- Complete a high volume of work accurately
- Assist with electronic filing according to instructions and firm/practice group guidelines
- Support visiting lawyers by maintaining office supplies and ensuring computers, phones, and printers are operational
- Ensure principals know who to contact for document support during and after hours
- Liaise with visiting lawyers’ assistants to coordinate and confirm travel arrangements and arrival requirements
- Prepare Cerlox binders, closing folders, and closing books
- Coordinate vacation, breaks/lunches, and absenteeism with the team/quad
- Perform ad hoc duties such as data entry
Requirements
What you’ll need- 1 year related experience, preferably within a professional services firm
- Experience working with photocopiers, scanners, and binding equipment
- Strong working knowledge of MS Office product suite
- Knowledge of PDF creator and editor software such as Adobe Acrobat or Nuance Power PDF
- Experience using an electronic document management system would be an asset
- Strong client service orientation and ability to manage multiple client needs simultaneously
- Excellent organizational, planning, prioritization, and time-management skills
- Ability to work independently and collaboratively within a team environment
- Excellent verbal, written, and interpersonal communication skills
- Exceptional attention to detail
- Ability to follow instructions and standard work processes
- Ability to quickly adapt to and learn new technology
- Successful background checks, including criminal record, social media, and employment and educational background checks
