About the role

Key responsibilities & impact
  • Plan and define project scope, deliverables, milestones, dependencies, resources, and completion criteria
  • Build and manage production schedules and the production calendar
  • Set deadlines for copy, design, approvals, proofs, files, and purchase orders
  • Manage proof and approval cycles and confirm specifications before vendor release
  • Track items through production and verify delivered items match orders
  • Coordinate contributors across Marketing and Communications, E-Commerce, Sales and Events, Member Development, and other departments
  • Assign and track internal work and serve as the organizational point of intake for production support
  • Request and compare vendor quotes and confirm lead times
  • Issue production specifications and track orders
  • Hold printers, manufacturers, fulfillment partners, contractors, and agencies accountable to timelines, quantities, and quality standards
  • Monitor active projects, deadlines, risks, and issues
  • Escalate delays, missing approvals, vendor problems, and unclear ownership with proposed solutions
  • Document and cost changes in time and dollars for approval or rejection
  • Report status, risks, and issues to the Chief Growth Officer and stakeholders
  • Track project costs and vendor spend against approved budgets and flag variances
  • Maintain intake forms, templates, boards, workflows, specifications, quotes, orders, approval records, meeting notes, and timelines
  • Conduct post-project reviews of timelines, costs, vendor performance, and final quality
  • Apply project review findings to future estimates, templates, and vendor decisions

Requirements

What you’ll need
  • A bachelor's degree from an accredited college or university is preferred
  • Equivalent relevant professional experience may be considered
  • Experience in project management, production management, business operations, or a related field
  • Experience coordinating projects involving multiple departments, stakeholders, or outside vendors
  • Experience managing production work with outside printers, manufacturers, fulfillment partners, or agencies preferred
  • Proficiency with Podio / HubSpot for project and workflow management preferred; comparable platforms considered
  • PMP, CAPM, or similar certification is beneficial but not required
  • Membership in Trail Life USA
