About the role
Key responsibilities & impact- Manage the President's daily, weekly, monthly, and yearly schedules
- Monitor the President's email for urgent items and notify him as needed
- Draft correspondence on the President's behalf, obtain approval, and send communications
- Manage and prioritize the President's email inbox and delete junk mail
- Coordinate travel arrangements and prepare detailed itineraries for the President and accompanying management personnel
- Process the President's expense reports
- Create PowerPoint presentations based on the President's concepts and details
- Assist with meeting materials, presentations, and background research
- Schedule and coordinate internal and external meetings, including agendas, logistics, and follow-ups
- Maintain supplies used by the President
- Keep the President's office organized
- Attend meetings, record the President's commitments, and arrange staff implementation
- Handle confidential details and perform administrative functions based on company policy and the executive's views and philosophy
- Perform other secretarial and administrative duties
Requirements
What you’ll need- 3-5+ years of previous experience supporting executives, board members, or senior leadership
- Strong organizational and project management skills; able to manage competing priorities
- Professionalism, discretion, and ability to handle confidential information
- Proficiency in Microsoft Office Suite, Outlook and Teams
- Adaptable, collaborative, and proactive with a strong sense of initiative
- Bilingual proficiency in English and Japanese (verbal and written) is not required, but is considered a strong plus
