About the role

Key responsibilities & impact
  • Book flights, hotels, and full travel itineraries.
  • Manage the founder's calendar and scheduling end to end.
  • Triage email, surface important items, and handle routine communication.
  • Prepare meeting agendas, briefing notes, and follow-ups.
  • Track projects, lists, deadlines, and follow-ups across multiple projects.
  • Manage expense reports, reimbursements, and regular communication with the accountant.
  • Coordinate personal and household appointments, medical scheduling, orders, shopping, groceries, cleaners, maintenance, and vendors.
  • Provide ad hoc support for a small team of three when reasonable.
  • Build and run systems for business administration and personal logistics.
  • Report directly to the founder.

Requirements

What you’ll need
  • 3+ years as an executive assistant, personal assistant or in a comparable service-driven role.
  • Exceptional candidates with less experience and clear evidence of ownership will be considered.
  • US-based; Miami preferred, with the ability to be on site around two days a week.
  • Deeply organised and detail-obsessed — you track everything and nothing falls through the cracks.
  • Resourceful; given a goal, you figure out the how.
  • Proactive — you handle things before you're asked.
  • Independent; judged on results, not hours logged.
  • Calm and easy to work with; plans change often.
  • Discreet and trustworthy; comfortable handling personal and financial information.
  • Comfortable with technology and quick to learn new tools.
  • Experience with Airtable and GoHighLevel.
  • Excellent written and spoken English.
  • Project management or operations experience is nice to have.
  • Experience in or around a marketing/creative agency is nice to have.
  • Experience supporting a founder directly is nice to have.
