About the role

Key responsibilities & impact
  • Develop and maintain processes, systems, and tools to optimize the effectiveness and efficiency of the Executives’ office and time
  • Facilitate, prioritize, and track internal and external tasking workflows
  • Review and process documents for content, accuracy, staff coordination, and completeness
  • Support executive engagements by researching attendees, summarizing ongoing efforts, and preparing talking points
  • Evaluate and disseminate sensitive information and documentation; alert the COO to issues
  • Manage the COO’s calendars and coordinate senior-level meetings, visits, and events
  • Arrange security clearances, VIP parking, building access, meeting agendas, domestic and foreign travel, itineraries, lodging, logistics, security, and expense requirements
  • Facilitate company events led by the COO, including venues, lodging, food, IT, and administrative coordination
  • Oversee day-to-day facility, property, safety, supply, and office requirements
  • Prepare weekly summaries of key events, milestones, approvals, and priority tasking
  • Perform other duties as assigned by the Supervisor

Requirements

What you’ll need
  • Bachelor’s degree in business administration or related field, with 8+ years of executive-level office management experience or equivalent
  • US citizenship
  • Ability to obtain and maintain a security clearance as needed
  • Proficiency in standard business concepts and practices
  • Excellent critical thinking, problem-solving, and analytical skills
  • Strong written and verbal communication
  • Adaptable and resilient, with ability to overcome challenges
  • Willingness to travel up to 10%
  • Successful completion of a comprehensive background check, security investigation, and drug screening
