About the role

Key responsibilities & impact
  • Provide proactive calendar support and manage multiple deliverables with competing deadlines
  • Partner with executives to drive execution on team initiatives supporting business priorities
  • Serve as a point person for executives’ direct reports and administrative business partners
  • Manage complex executive travel, prepare expenses, and organize special events, team activities, and meetings
  • Research, coordinate participants, prepare materials, and manage logistics
  • Manage complex calendars, prioritize meeting requests, and make decisions on behalf of executives
  • Build relationships across executives’ teams and address difficult situations
  • Draft presentations and executive communications
  • Take meeting minutes and track actions
  • Manage meeting topics, agendas, presenters, and meeting time
  • Drive accountability for team project deliverables and maintain project trackers
  • Identify process improvements and optimize efficiency
  • Lead end-to-end planning and execution of executive offsites and strategic team gatherings, including budgeting, venue sourcing, agenda creation, and stakeholder coordination

Requirements

What you’ll need
  • 5+ years’ experience supporting executives in a fast-paced environment within the High Tech industry
  • Ability to make good decisions in a fast-paced environment with changing priorities
  • Superior attention to detail and high level of integrity and discretion in handling confidential information
  • Strong verbal and written communication skills
  • Excellent organizational skills
  • Demonstrated ability to build cross-functional relationships and partner closely with leaders
  • Ability to keep multiple teams and projects on track in parallel
  • Ability to plan and facilitate virtual, in-person, or hybrid leadership summits and team-building events
  • Experience with contract management, procurement processes, and general business workflows
  • Proficiency with common administrative tools, including Zoom and G-Suite
  • Some experience using AI for productivity gains
  • Internal communications experience is desired
  • Bachelor’s Degree/Diploma in Business, Sales, or Communications is desirable but not mandatory
  • Experience planning and preparing for business operating cadences such as Quarterly Business Reviews or Long Range Planning meetings is desired
