About the role

Key responsibilities & impact
  • Coordinate daily workflow and work assignments across the Small Business Loan Closing team
  • Monitor production volumes, pipeline status, turnaround times, and workload distribution; communicate resource needs to management
  • Serve as the first escalation point for routine operational, workflow, and customer service issues
  • Provide day-to-day guidance on procedures, system functionality, documentation requirements, and exception handling
  • Share operational updates, procedural changes, and departmental priorities
  • Reinforce adherence to procedures, service standards, and quality expectations
  • Provide onboarding support and ongoing training
  • Assist management with employee development and training needs
  • Conduct quality reviews and provide coaching and feedback
  • Monitor quality trends, identify recurring issues, and recommend corrective actions
  • Maintain procedures, job aids, reference materials, and training documentation
  • Approve employee timecards, schedules, and vacation requests
  • Provide performance feedback and participate in evaluations
  • Assist with interviewing, onboarding, and selection activities
  • Document coaching discussions and performance observations
  • Support performance improvement plans, corrective actions, and recognition programs
  • Provide leadership coverage during temporary manager absences
  • Monitor workflow efficiency and recommend process improvements
  • Identify operational risks, control gaps, and recurring issues
  • Support process enhancements, procedural updates, system changes, and department initiatives
  • Participate in testing, training, and rollout activities for new systems, products, and workflow changes
  • Prepare and distribute periodic production, quality, and service-level reports
  • Participate in required compliance training, including Bank Secrecy Act/anti-money laundering training
  • Perform other duties and responsibilities as assigned

Requirements

What you’ll need
  • College Degree or equivalent required
  • 5+ years of work experience in a financial institution with a focus on due diligence and/or loan documentation
  • In-depth knowledge of Small Business/Commercial Loan Closing, Document Preparation, and Document Review, including knowledge of regulatory regulations
  • Experience performing quality assurance reviews of various loan operation functions
  • Proficiency in Microsoft Outlook, Word, Excel, and SharePoint
  • Ability to identify trends, determine root causes, and develop practical recommendations for process, quality, system, and control improvements
  • Expert knowledge of common and complex vendor documents, including title work, automated valuation models, appraisals, environmental reports, flood determinations, insurance documentation, surveys, and lien searches
  • Demonstrated ability to coach others, transfer technical knowledge, and promote consistent application of policies and procedures
  • Demonstrated ability to coordinate daily work activities and prioritize team workloads in a fast-paced operational environment
  • Ability to coach, develop, and motivate employees while promoting accountability and teamwork
  • Ability to monitor productivity and quality metrics and identify opportunities for improvement
  • Strong interpersonal skills with the ability to resolve routine employee, customer, and operational concerns
  • Ability to lead through influence and foster collaboration across multiple business partners and operational teams
  • Must be able to pass a criminal background and credit check
  • Position requires schedule flexibility to work evenings and weekends as needed
