About the role

Key responsibilities & impact
  • Provide gatekeeping, calendar management, scheduling, and organizational support for the Vice President
  • Plan and manage the Vice President’s travel and accommodations
  • Oversee expense reconciliation, invoice payment, and internal financial processes
  • Prepare and edit documents and correspondence for donor meetings
  • Maintain departmental files, shared drives, and donor contact information in Microsoft CRM
  • Coordinate Development Cabinet meetings, agendas, materials, minutes, and follow-up items
  • Support Development department operations, logistics, expense reports, presentations, research, and training
  • Manage special Development meetings, celebrations, recognition events, and strategy meetings
  • Track department goals and KPIs and build policies, procedures, and operational tools
  • Coordinate department meetings and provide cross-team support for projects and campaigns
  • Produce revenue, activity, pipeline, and direct-mail reports using PowerBI, CRM, and other systems
  • Maintain donor information and support CRM de-duplication and account cleanup
  • Respond to donor and volunteer requests and resolve or escalate donation-related inquiries
  • Support donor stewardship, designations, recognition, and events
  • Research prospects and donors, prepare profiles and briefing materials, and maintain moves management and pipeline data
  • Develop working knowledge of the iWave donor research platform
  • Support the department in raising $8M in annual revenue and complete phase one of the Donor Data Project

Requirements

What you’ll need
  • Minimum 1 year of relevant administrative experience is required
  • Bachelor’s degree or equivalent professional experience preferred
  • Ability to work from the DTLA office on Tuesdays, Wednesdays, Thursdays, and additional days as needed
  • Commitment to continued learning on racial equity, diversity, and inclusion
  • Interest in emerging technology and artificial intelligence
  • Familiarity with Microsoft Windows, Outlook, Word, PowerPoint, and Teams
  • Ability to work late nights, early mornings, or weekends when needed
  • Clear, concise, and persuasive communication skills
  • Planning and problem-solving skills
  • Ability to adapt quickly, meet tight deadlines, and work effectively with stakeholders and colleagues
