About the role
Key responsibilities & impact- Develop plans, objectives, solutions, policies and procedures with Academic Department Chairs and the Faculty General Manager
- Prepare and manage department budgets, monitor financial systems and track fund utilization
- Act as key contact for department human resources issues and advise Academic Department Chairs
- Oversee financial and human resource transactions
- Develop and execute communications for stakeholders
- Create department course schedules and establish teaching assignments
- Oversee timetable changes and communication to staff and students
- Administer the department website and manage records retention
- Write and review administrative policies and advise faculty and staff
- Provide financial and non-financial reports to the Department Chair
- Provide materials for accreditation maintenance reporting
- Oversee probation reviews, promotion and increment eligibility processes
- Prepare and audit FEC/ATSEC materials, annual reports and tenure and promotion cases
- Lead and supervise support staff, including performance appraisals and leave administration
- Directly supervise 2 Academic Department Coordinators and indirectly supervise 2 Academic Department Coordinators
Requirements
What you’ll need- Bachelor’s Degree in Commerce/Business Administration
- 5-7 years of experience in hiring, leading, supervising, conducting performance evaluations, mentoring staff and managing employee performance
- Experience working in a large unionized environment and knowledge of the Faculty, APO, ATS, NASA and TRAS Agreements
- High level of analytical, problem-solving and critical-thinking skills
- Training/experience in strategic planning, project management, resource planning, business process review and change management
- Demonstrated experience in human resources, financial analysis and budgeting
- Demonstrated use of Excel, databases, Uplan, PeopleSoft (Finance, HCM, Campus Solutions) and SupplyNet
- Computer proficiency in Microsoft Office Suite and Google Applications
- Ability to work independently
- Strong written, verbal and public presentation, organization and interpersonal skills
- Excellent tact and professionalism for negotiation, conflict resolution and handling highly confidential matters
- Knowledge of the University of Alberta’s governance, policies and procedures, and academic culture
- Excellent time management and ability to manage competing deadlines
