About the role
Key responsibilities & impact- Draft and generate routine communications, including emails, memos, and other documents
- Research, edit, write, fact-check, review, and publish internal and external communications materials
- Assist with briefing materials for meetings and committees
- Review and prioritize correspondence and take appropriate action
- Create web pages and update information in the content management system in collaboration with the MarCom Partner
- Maintain websites, blogs, and social media channels
- Support media outreach and sponsorship
- Assist with development, design, and production of program publications
- Ensure consistency of School-generated content and materials for events, outreach, and research dissemination
- Coordinate promotional materials for workshops, orientations, information sessions, speaker series, open houses, recognition, and celebration events
- Proofread and reformat documents
- Organize meetings, conferences, seminars, and special events, including venues, rentals, and catering
- Coordinate and support event volunteers
- Distribute information about School events and initiatives through calendars, listservs, and other platforms
- Coordinate event registration and correspond with businesses and community leaders
- Prepare post-event follow-up, surveys, thank-you cards, and related activities
- Ensure events meet senior leadership standards and proper protocol
- Troubleshoot special-event issues such as registration, seating, catering, and speaker changes
- Arrange opportunities for instructors, students, and alumni to promote the School and its programs
- Perform other website, social media, outreach, and communications duties as required
Requirements
What you’ll need- A post-secondary diploma is required; a bachelor’s degree is preferred
- Public relations or communications studies are an asset
- Minimum of three (3) years of progressive experience in a university setting
- Knowledge of University of Alberta policies and procedures is an asset
- Related experience in communications, maintaining websites/social media accounts, and event marketing/promotions
- Communication planning experience is strongly preferred
- Computer proficiency in a Windows environment using MS Office applications (Word, Excel, PowerPoint), Google applications, and Adobe Creative Suite is a strong asset
- Website management, photo editing, and videography skills are considered an asset
- Excellent planning and organizational skills; ability to meet deadlines and juggle competing priorities
- Highly developed verbal and written communication skills
- Excellent interpersonal skills and demonstrated intercultural understanding are required
- Flexible schedule; some weekends are required to coordinate events
- Flexibility and ability to take initiative and work without close supervision
- Exceptional time management and organizational skills
- Exceptional work ethic and commitment to quality work
