About the role
Key responsibilities & impact- Provide operational leadership for Executive and Administrative Services within the Dean’s Office
- Advise on University human resource, financial and administrative processes and resolve complex issues
- Supervise, coach, mentor and support professional development for the Executive Assistant and Administrative Coordinator
- Establish team priorities, allocate work, balance workloads and monitor service delivery
- Develop service standards, quality assurance practices, cross-training, documentation and business continuity measures
- Support recruitment, onboarding, orientation, training and employee development
- Provide executive and operational support to the Faculty General Manager, Associate Deans and Faculty Operations
- Coordinate confidential correspondence, reports, briefing materials, presentations, meetings, projects and operational initiatives
- Coordinate executive meetings, including scheduling, agendas, minutes, action items and follow-up
- Coordinate operational projects and cross-functional initiatives, managing timelines, deliverables and implementation
- Lead Dean’s Office operational administration involving facilities, space, office access, technology, equipment, supplies and related services
- Liaise with University service units, vendors and service providers
- Coordinate requirements for Faculty events, meetings, workshops, visiting speakers and external visitors
- Coordinate executive and administrative services across leadership portfolios
- Develop implementation plans, administrative procedures, templates, standard operating procedures and best practices
- Coordinate governance activities and committee administration
- Monitor processes and service standards for quality assurance and continuous improvement
- Plan and implement special projects and operational initiatives
- Identify project risks, resolve issues within scope and escalate significant matters to the Faculty General Manager
Requirements
What you’ll need- Minimum 2-year diploma in Business, Human Resources, Administration or a related discipline
- An equivalent combination of education and progressively responsible experience may be considered
- 3+ years of progressively responsible administrative, operational and leadership experience
- Experience coordinating administrative operations, establishing priorities and managing multiple competing demands
- Excellent interpersonal, communication and relationship-building skills
- Strong organizational, analytical and problem-solving skills
- Ability to lead process improvement, implement operational change and develop administrative practices, procedures and workflows
- Ability to interpret and apply policies, procedures, collective agreements, systems and business processes
- Ability to exercise discretion, diplomacy, initiative and sound judgment with complex, confidential or sensitive matters
- Ability to work independently, determine priorities and make operational decisions
- Commitment to collaboration, knowledge sharing, cross-training and continuity of administrative services
- Advanced proficiency with Microsoft 365, Google Workspace and administrative information systems
- Knowledge of University of Alberta administrative, human resource and financial systems is an asset
