About the role

Key responsibilities & impact
  • Assist in the coordination and indexing of outside records received via Trace, the virtual fax
  • Ensure requests are sent to the appropriate Trace inbox
  • Create a referral shell in EPIC for all new requests
  • Ensure scheduled appointments have outside records sent to Medical Records for scanning to the Electronic Patient Folder and availability to providers before appointments
  • Maintain and update patient health records accurately and confidentially
  • Enter, verify, and organize medical information in electronic health record systems
  • Review medical records for completeness, accuracy, and proper documentation
  • Process and release medical-record requests according to privacy and authorization requirements
  • Verify patient identity and authorization before releasing protected health information
  • Scan, index, file, and retrieve medical documents
  • Correct or resolve missing, incomplete, or inconsistent information
  • Assist with medical coding, billing documentation, or insurance-related information when required
  • Communicate with clinical staff, patients, insurance companies, and other departments
  • Track and respond to medical-record requests within required timeframes
  • Maintain logs and documentation of record requests and releases
  • Assist with audits, quality-control reviews, and compliance activities
  • Protect sensitive patient information and report potential privacy or security issues

Requirements

What you’ll need
  • Bachelor’s degree in Health Information Management; current enrollment in Health Information Management or an Associate’s Degree in Health Information Management and 2 years experience in health information accepted as alternatives
  • High School Diploma/GED and 4 years of experience in health information accepted as an alternative
  • Expert knowledge of state and federal laws, HIPAA regulations, and UAMS release of information policies and procedures
  • Proof of legal authority to work in the United States on the first day of employment
  • Annual TB Screening, Criminal Background Check, Sex Offender Registry
