About the role

Key responsibilities & impact
  • Provide detailed information to learners on program requirements, support learner needs, and track and monitor learner progress
  • Act as the first point of contact for general enquiries and respond within the defined scope of the role
  • Liaise with learners, faculty, and internal and external contacts to coordinate program activities, seminars, and workshops
  • Coordinate meeting schedules, agendas, materials, action and follow-up items, and take and distribute meeting minutes
  • Support internal and external program reviews by coordinating required materials and documentation
  • Determine logistical details and activities for events and/or programming
  • Handle sensitive and/or confidential information, update and maintain records, and generate reports

Requirements

What you’ll need
  • Advanced College Diploma (3 years) or an acceptable combination of education and experience
  • Minimum two (2) years of experience supporting and coordinating education programs and projects
  • Demonstrated experience providing frontline learner support, including serving as a first point of contact for enquiries and providing program information
  • Demonstrated experience tracking and monitoring learners and checking completion of program requirements
  • Demonstrated experience coordinating meetings, including schedules, agendas, materials, action and follow-up items, and taking meeting minutes
  • Experience organizing and executing events both in person and virtually, including coordinating logistics
  • Experience maintaining information in databases and digital platforms, updating program records, and generating reports
  • Strong proficiency with MS Office and other common administrative tools and systems (e.g., shared mailboxes and calendars, Zoom)
  • Strong written and verbal communication skills, with the ability to liaise effectively with learners, faculty, and internal and external contacts
  • Excellent organizational and time-management skills, with demonstrated ability to prioritize activities and meet deadlines
  • Ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment
