About the role

Key responsibilities & impact
  • Conceptualize, organize, and execute event activities
  • Build and strengthen relationships with strategically important stakeholders and partners
  • Analyze client needs and recommend event logistics and options
  • Oversee implementation of event plans and activities
  • Liaise with clients and vendors to resolve minor complaints and address issues
  • Resolve issues during events and escalate problems as required
  • Conduct post-event evaluations, analysis, and recommendations for changes
  • Create and edit documents
  • Coordinate and manage a variety of advancement-related events and special projects
  • Prepare guest experience decks, event concepts, venue proposals, detailed event materials, and leadership briefings
  • Manage event logistics including budgets, catering, room bookings, and audiovisual needs
  • Communicate with vendors regarding requirements, timelines, expectations, and feedback
  • Create event communications including invitations, registration webpages, and correspondence with invitees and registrants
  • Deliver large-scale and complex digital programming and support online engagement

Requirements

What you’ll need
  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum three (3) years relevant experience in events coordination and planning
  • Proven successful experience with special events, managing volunteers and committees
  • Experience conceptualizing, implementing and managing event plans from beginning to end
  • Experience supporting convocation activities
  • Experience with online event platforms such as Zoom or MS Live
  • Experience planning and hosting virtual events, webinars, and online meetings using Zoom and Microsoft Teams
  • Experience using an event registration system such as RSVPify, PheedLoop, or similar
  • Experience working with and supporting senior University leadership
  • Strong computer skills and proficiency with Microsoft Office, word processing, spreadsheets, email, internet, presentation software, and social media platforms
  • Strong written and verbal communication skills
  • Excellent customer service skills
  • Ability to communicate event concepts and ideas and prepare proposals
  • Strong organizational, time management, and multitasking skills
  • Ability to work independently and cooperatively on a team
  • Flexibility and ability to adapt to changing circumstances
  • Strong administrative skills, accuracy, and attention to detail
  • Ability to prioritize a large volume of work in a fast-paced, high-performance environment
