About the role

Key responsibilities & impact
  • Plan, organize, manage, execute, and evaluate the Lubar College of Business' events
  • Work with the Director of Communications and Administrative Affairs, Marketing & Web Manager, and Dean's Office staff
  • Manage event planning and execution, including communications, reservations, day-of preparation, and post-event responsibilities
  • Manage and reconcile budget allocations and expenditures, execute approval processes, and adhere to fiscal policies and deadlines
  • Maintain an event calendar and detailed planning system
  • Organize and lead program planning and debrief meetings
  • Create event plans and templates using Asana
  • Create, distribute, analyze, and share post-event surveys
  • Oversee venues, setup and teardown, participants, volunteers, catering, parking, audio/visual, speaker contracts, photographers/videographers, web updates, and Emma email updates
  • Coordinate event marketing with the Marketing Manager
  • Collect RSVPs and provide weekly stakeholder updates
  • Execute confirmations, reminders, and follow-up communications
  • Maintain updated targeted-audience contact lists in SharePoint
  • Support other units' events through planning, marketing, room reservations, catering, and billing
  • Manage La Macchia New Venture Business Plan Competition, Scheinfeld Awards, and Business Ethics Case Competition
  • Plan competition schedules, workshops, deadlines, and final dates
  • Update competition details on the Lubar College website and promote competitions
  • Confirm judges and mentors with competition director approval
  • Manage competition logistics, communications, and day-of activities
  • Obtain winner information and process award payments
  • Prepare budget reports, funding recommendations, and improvement recommendations
  • Compile information for donor development reports
  • Some infrequent early morning, evening, or weekend event work is required

Requirements

What you’ll need
  • Bachelor's degree
  • Minimum of four years of professional experience planning and coordinating events, programs, executive-level meetings, or similar activities
  • Demonstrated evidence of independently coordinating events or projects from initial planning through implementation and follow-up
  • Demonstrated experience managing multiple events, projects, or priorities with overlapping timelines and deadlines
  • Coordinated event logistics, including vendors, facilities, technology, schedules, participants, or other event-related resources
  • Provided on-site event management and responded to event-related issues or changing circumstances
  • Experience communicating and working effectively with a variety of stakeholders, such as clients, colleagues, vendors, speakers, guests, or event participants
  • Developed event-related communications, reports, assessments, or other materials requiring accuracy and attention to detail
  • Experience using webinar, virtual meeting, and/or presentation technologies to support events or programs
  • Must verify identity and eligibility to work in the United States at the time of start date
  • Preferred: 5-10 years of event management experience
  • Preferred: Experience managing budgets and adhering to fiscal policies
  • Preferred: Experience with Workday, Asana, WordPress, and Emma (or similar html email software)
