About the role

Key responsibilities & impact
  • Perform all aspects of regional scheduling, including daily, nightly, and weekend assignments
  • Navigate the scheduling system, enter cases, and read daily schedules
  • Set daily schedules, manage daily operations, review cases, and communicate with providers, surgeons, and facilities
  • Complete daily summaries and check-outs independently
  • Escalate staffing shortages and scheduling issues to managers, physician leaders, or regional coordinators
  • Perform provider call trades and swaps
  • Manage and approve PTO requests
  • Post cases according to platform-specific requirements
  • Coordinate next-day schedules, additions, emergencies, and schedule changes with the designated physician leader
  • Ensure sufficient regional staffing for surgeries and maintain the call rotation
  • Maintain meeting calendars, provider call information, vacation tracking, physician preferences, and surgeon information
  • Create and manage holiday call schedules
  • Train new scheduling employees
  • Write and maintain scheduling policies and procedures
  • Communicate with regional, operations, physician, scheduling, and leadership stakeholders
  • Maintain department documents and ensure adherence to policies and procedures

Requirements

What you’ll need
  • High school diploma required; bachelor’s degree preferred
  • 1–3 years’ related experience and/or training, or equivalent combination of education and experience
  • Knowledge of medical practices and terminology
  • Proficiency in Microsoft Office (Word, Excel, and Outlook)
  • Ability to handle a large volume of phone and computer work
  • Ability to read, analyze, and interpret business reports, professional journals, technical procedures, and government regulations
  • Ability to present information and respond to questions from managers, clients, customers, and the public
  • Ability to solve practical problems and interpret varied written, oral, diagram, or schedule instructions
  • Ability to establish and maintain effective working relationships
  • Flexible schedule with ability to work varying shifts; overtime may be required
  • Ability to travel locally in the greater metropolitan area for meetings, training, and customer service
  • Must currently reside within the Houston, Texas area
  • Must be able to work Sunday through Thursday, 12:00 PM to 8:30 PM
  • Occasional standing and walking; frequent sitting and hand/finger movement
  • Ability to use office equipment in office or remotely and communicate verbally and in writing
