About the role

Key responsibilities & impact
  • Perform daily, nightly, and weekend scheduling assignments
  • Answer calls from surgeons’ staff, hospitals, surgery centers, and patients
  • Enter data and maintain multiple databases
  • Set schedules, run the day, enter and review cases, and communicate with providers, surgeons, patients, and facilities
  • Complete daily summaries and check-outs independently
  • Communicate staffing shortages or scheduling issues to the manager or physician liaison
  • Perform provider call trades and swaps
  • Post cases with patient demographics, procedure, diagnosis, location, case time, and estimated duration
  • Coordinate next-day schedules and same-day additions, emergencies, and changes with designated physicians
  • Maintain current call rotations and ensure sufficient surgical coverage
  • Maintain meeting calendars, provider call information, vacation tracking, team lists, and call equalization reports
  • Create and manage holiday call schedules
  • Train new scheduling employees and participate in quarterly schedule training
  • Assist with daily reports and ensure updates are provided
  • Maintain physician preferences and surgeon information in scheduling software
  • Write and maintain scheduling policies and procedures
  • Communicate with scheduling leadership, physician liaison, CGB, and operations
  • Maintain department documents
  • Ensure adherence to and explain policies and procedures

Requirements

What you’ll need
  • High school diploma required; bachelor’s degree preferred
  • 3–5 years’ related experience and/or training at this level, or equivalent combination of education and experience
  • Knowledge of medical practices and terminology
  • Ability to lead and train lower levels
  • Previous surgery scheduling experience is preferred but not required
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Experience with a multi-line phone system
  • Ability to handle a large volume of phone and computer work
  • Ability to read, analyze, and interpret business reports, professional journals, technical procedures, and government regulations
  • Ability to present information and respond to questions from managers, clients, customers, and the public
  • Ability to solve practical problems and deal with limited-standardization situations
  • Ability to interpret written, oral, diagram, or schedule instructions
  • Ability to establish and maintain effective working relationships
  • Flexible schedule with shifts varying from 6:30 am to 6:30 pm, including overtime when needed
  • Must live local to Fort Myers, Florida
  • Willingness to work a hybrid schedule
