About the role
Key responsibilities & impact- Process daily schedules
- Interact directly with hospital OR scheduling and/or management
- Maintain positive relationships with partnered facilities
- Ensure timely communication and efficient issue resolution
- Maintain daily contact with physicians, division managers, and external contacts
- Produce and maintain anesthetist hours and daily peel-off
- Recognize time gaps and question time inconsistencies
- Monitor and update anesthetist start times
- Independently assess schedules, anticipate issues, and communicate with providers
- Produce and maintain daily schedules for all campuses and off-site locations
- Confirm off-site schedules are entered into QGenda and remain current
- Confirm weekly room-count accuracy for off-site locations
- Compile and distribute the next-day schedule
- Prepare weekly off-site location overviews for staffing
- Monitor future manpower needs using vacation, call, and projected-needs reviews
- Maintain cross-coverage data
- Ensure in-house schedules are completed accurately and timely
- Provide weekly, monthly, or quarterly reports as requested
- Perform other assigned duties
Requirements
What you’ll need- Associate’s degree required; bachelor's degree preferred
- 2–3 years of hands-on scheduling experience in a hospital/surgery center or high-volume surgery practice, or an equivalent combination of education and experience required
- Previous lead or senior scheduling level experience preferred
- Prior experience in anesthesia scheduling preferred
- Certification in medical terminology helpful
- Working knowledge of scheduling, general physician practices, hospital operating room workflows, computers, MS Excel, and MS Word
- Ability to collaborate cooperatively with physicians, staff members, and external customers
- Strong problem-solving skills
- Strong attention to detail
- Ability to perform the stated physical requirements, with or without reasonable accommodation
- Must reside outside California, Hawaii, and Alaska
