About the role

Key responsibilities & impact
  • Implement the strategic meetings management program within USF
  • Develop standard operating procedures for meetings and train divisions, corporate, and support offices
  • Develop and manage vendor relationships, including sourcing, negotiating, and implementing vendor agreements
  • Review and record event-management vendor contracts for compliance and standardization
  • Work with Legal to develop boilerplate vendor contract language and Master Service Agreements
  • Determine event cost estimates and budgets with internal stakeholders
  • Track spending, budget adherence, and ROI; prepare management reports
  • Coordinate services with registration, destination management, catering, meeting-room, and audiovisual suppliers
  • Develop internal and external event promotional and preparation materials
  • Manage event staffing, scheduling, outside vendors, and staff
  • Attend events as appropriate to direct staff and vendors and resolve problems and emergencies
  • Coordinate event travel needs with the USF Travel department
  • Develop meeting agendas, objectives, deliverables, organization, and logistics
  • Coordinate venue needs with presenters and meeting-content facilitators
  • Develop contingency plans to reduce attendee risk and financial liability
  • Serve as a subject matter expert and resource for divisions and support offices
  • Staff, supervise, and coach direct reports
  • Supervise the Travel and Expense Assistant

Requirements

What you’ll need
  • 4 year degree in Business Management, Hospitality, Hotel Management or equivalent related experience
  • Certified Meeting Planner (CMP) or Strategic Meeting Management Certification (SMMC) preferred
  • 5-7 years relevant work experience
  • Proven knowledge in organizing and managing all logistical aspects of mid to large size meetings/events within a multibillion dollar organization
  • Experience with meeting-related sourcing and registration technology
  • Excellent planning, organizational and project management skills
  • Ability to manage concurrent projects and prioritize tasks
  • Working knowledge of the hotel industry, including evaluating vendors and negotiating contracts
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong analytical skills and ability to work under tight time constraints
  • Strong oral and written communication skills
  • Ability to work independently and build consensus
  • Ability to travel overnight up to 50%
